Agree on the coverage window
List who watches incoming messages during showings, travel and days off. Decide which questions the covering colleague can answer and which require the assigned agent. Make the client-facing response expectation match the coverage you can provide.
Put the arrangement somewhere the team can find it. A general assumption that someone will see the notification is not a working rota.
Leave a concise property-aware note
Include the property reference, the client’s requested action, the agreed appointment and any unresolved question. Link the current listing or approved source instead of copying an old description into a permanent note.
Keep sensitive personal information out of casual handoff notes when it is not needed for the task. The colleague should receive sufficient context to help, with access limited according to the team’s working rules.
Give the conversation back deliberately
When the primary agent returns, record what the colleague said and which promises remain open. Show who owns the next reply so the client does not receive two conflicting answers.
Use a synthetic inquiry to test this flow in each shortlisted tool. Check the inbox and CRM together: a clean conversation screen is less useful if the appointment or assigned task is left behind.
